Instructions for editing the description in the Jagiellonian University Repository (RUJ) after automatic import from external aggregators CrossRef and OpenAlex

After receiving information about a new publication in your Jagiellonian University email inbox, please click the link provided in the body of the email or log in to your account in the RUJ repository.

In the decription, select 'Edit' or 'Delete' (if the selected title has already been published or has been ssigned by mistake)

The form will be partially pre-filled with information retrieved from the CrossRef and OpenAlex databases. Please complete the metadata with all other missing information, in particular in the mandatory fields marked with an asterisk (*). In fields with a drop-down list, please select the suggested options.

• please select the appropriate collection as well as the publication type and subtype from the drop-down lists.

• please enter your surname — the data will be retrieved from the SAP system, which will allow the “Affiliation” field to be completed.

• please select the “Journal title” from the drop-down list.

After completing the remaining metadata fields, the description can be saved in your account as a draft for further editing (making corrections, adding additional data), or you can select the “Deposit” option and submit the description to the next editorial stage for the RUJ Administrators.

In the My DSpace view, under the Your Submission, you can check the status of this item. The “Workspace” status means that the description can still be edited and modified; the “Editing” status means that the description is being reviewed by an RUJ Administrator; and the “Published” status means that the publication is visible to users in the RUJ repository.
